Position Description

Reporting to the Director of Operations, the Office Manager is responsible for assisting in the daily operations of PERC in a role that is best described as a valued concierge to PERC’s staff, fellows, tenants, vendors, and visitors. This role requires a proactive, detail-oriented, and versatile individual who can manage administrative tasks while also planning and executing a comprehensive fellowship program.

The successful candidate will be service-oriented, a self-starter, and show initiative to identify and take ownership of needs in support of PERC’s operations. This position requires a team player who is willing to pitch in outside of the confines of their job description. This is a non-remote 30 – 40 hours per week nonexempt position. This is a non-supervisory role with no direct reports. The work schedule for this position is Monday through Thursday, 8:30 am – 5:00 pm, and Friday 8:30 am – 4:00 pm with some flexibility.

Primary Responsibilities

Front desk administrative support
  • Serve as the primary point of contact for office-related inquiries and issues, greet/support visitors, and manage supplies, mail, general email, and incoming phone calls
  • Assist with onboarding and support of staff, visiting fellows, and visitors
  • Coordinate outgoing contracts with a focus on accuracy and timeliness
  • Develop and implement office policies as needed
  • Remain informed about best practices in office management and nonprofit administration
  • General office support including meetings/lunch coordination, kitchen preparation (start coffee, run dishwasher, maintain snacks, etc.), and related activities
Fellowship coordination
  • Work with fellowship directors and research department to coordinate visiting fellowship residency dates, schedules, and contracts
  • Act as a concierge to visiting fellows, ensuring they are provided with needed information and office setup, and arrange weekly summer happy hours
  • Coordinate, organize, and distribute weekly seminar emails
Facility management
  • Manage vendor contracts for indoor and outdoor property maintenance
  • Oversee property maintenance vendors and services to ensure effective scheduled maintenance and address urgent issues as they arise
  • Oversee janitorial vendors and supplies
  • Serve as the point of contact with building tenants
Financial administration
  • Process vendor invoices and approvals through the billing system
  • Monitor monthly invoices for discrepancies
  • Process internal donation deposits
  • Development and accounting support (monthly reconciliation, etc.)
Conference and event support
  • Provide basic conference support to PERC’s conference coordinator including planning and setup/cleanup
  • Coordinate smaller PERC workshops, events, and celebrations
  • Ensure spaces are prepared for meetings and events including technology, refreshments, etc.
Special projects
  • Responsible for swag inventory tracking and cost assignment
  • Other special projects as they arrive
Required Qualifications
  • Must be service-oriented and possess a desire to provide a concierge approach to supporting PERC’s mission
  • Strong interpersonal and communication skills, with the ability to work collaboratively with diverse groups of people
  • Ability to multitask and prioritize responsibilities in a fast-paced environment
  • Ability to work both independently as well as closely with PERC’s team in a productive and positive manner
  • Attention to detail and a proactive approach to problem solving
  • Must work daily at PERC’s main office located in Bozeman, Montana
Preferred Qualifications
  • Experience with facility management
Working Conditions
  • Business office environment with moderate noise
  • Will sit or stand at a desk
  • Work on a computer, use a telephone, and other general office equipment
  • Lift and carry up to 25 pounds
Location

This is a full-time, exempt position based in Bozeman, Montana.
